About the job

Registration Senior Specialist is responsible for the delivery of students Registrar Services with a high level of care and customer service and to oversee the execution of the day to day duties of the Registrar’s Office related to registration of students.

Key Roles & Responsibilities:

  • Work with the Assistant Registrar to coordinate day to day operations of the Registrar’s Office
  • Publish the registration schedule and maintain a registration annual calendar of events.
  • Carry out major subsets of tasks related to registration as assigned by the supervisor and ensures accurate data entry and ongoing update of electronic student records and management of student files.
  • Create student enrollment records, both electronic and hard-copy and coordinate the maintenance of all admissions records in the Registrar’s Office.
  • Maintain and update students’ records to show all enrollment related transactions: adding/dropping courses, majors, grade appeals, withdrawals, intercampus transfers, exceptions to policy, and certification of graduation.
  • Provide guidance to students regarding course registration, prerequisites, and academic policies.
  • Facilitate the production and distribution of official academic records, including transcripts and diplomas.
  • Collect statistics and maintain a database of student enrolment status for purposes of timely reference and consideration by management in eventual policy review and decision making processes.
  • Schedule and prepare examination timetable, exam copying, room assignments, seating assignments, preparation of exam rooms
  • Follow up the collection, posting and dissemination of course grades including summary report of grade distributions as well as standard and ad hoc reports and both operational and official reports.
  • Ensure the verification, evaluation and posting student transfer credit includes certification of graduating students indicating that they have satisfied all degree requirements.
  • Follow up the adherence of the student attendance policy includes preparation of weekly reports as well as notification letters related to violation of attendance policy.
  • Work on Standard and ad hoc reporting, including both operational and official reporting.
  • Attend meetings as a representative of the Registration Office related to interdepartmental projects involving assigned areas of responsibility.
  • Contribute to the development and implementation of policies and procedures related to student administration.
  • Adhere to the University’s information security and confidentiality policies and procedures, and report breaches or other security risks accordingly
  • Coordinate with other departments to facilitate the accomplishment of tasks and responsibilities, as and when needed
  • Demonstrate a strong commitment and practice to maintaining a safe and healthy work environment
  • Perform any other tasks assigned by the Line Manager

Qualifications & Experience:

  • A Bachelor’s degree in in Higher Education Administration, or related field.
  • Adaptability, proactivity, willingness to take on additional responsibilities; skilled in relationship building and teamwork
  • A minimum 7 years of relevant experience
