This position works out of our UAE location in the Abbott Core Labs division

This is a fixed term contract role for 1 year

The Sales & Marketing Coordinator will provide essential administrative, operational, and logistical support to the regional Sales and Marketing teams within the In‑Vitro Diagnostics (IVD) business. This role is ideal for a motivated fresh graduate who is detail-oriented, organized, and eager to learn within a fast-paced and highly regulated industry. The coordinator will manage documentation, approvals, vendor relationships, events logistics, and contribute to smooth internal communication across the region.

What You’ll Do-

Marketing Support

  • Assist in preparing, organizing, and maintaining all marketing documentation, including brochures, product materials, compliance forms, and internal records.
  • Manage the marketing approval cycle through multiple internal systems (e.g., approval workflows, compliance systems, document repositories).
  • Support vendor creation, maintenance, and communication with external suppliers.
  • Track invoices, ensure timely processing, and follow up on payments with both procurement and finance teams.
  • Coordinate logistics for marketing events, workshops, webinars, exhibitions, and customer activities across the region.
  • Maintain accurate documentation for regional marketing activities in alignment with regulatory and corporate requirements.
  • Prepare reports, presentations, and internal communications as requested by the Marketing Manager.

Sales Support

  • Support sales teams with documentation needed for tenders, quotations, agreements, and contract follow-up.
  • Coordinate customer satisfaction surveys, collect responses, and compile insights for the commercial team.
  • Assist with order processing workflows, ensuring accurate submission of required forms and documents.
  • Maintain organized records of contracts, customer documents, and sales-related files.
  • Liaise internally between Sales, Operations, Logistics, Regulatory, and Finance to ensure smooth execution of sales activities.

Cross-Functional Responsibilities

  • Ensure all documentation complies with internal quality standards and regulatory expectations for medical devices and diagnostics.
  • Maintain excellent communication with internal teams across the region.
  • Support general administrative tasks to ensure efficient department operations.

Required Qualifications

  • Bachelor’s degree in Business Management, Marketing, Administration, or a related field.
  • Fresh graduates or candidates with up to 1 year of experience are encouraged to apply.

Skills & Competencies

  • Strong organizational and documentation management skills.
  • High attention to detail and accuracy.
  • Ability to work with multiple systems and digital workflows.
  • Excellent communication skills (written and verbal).
  • Strong interpersonal ability, especially with cross-functional teams.
  • Proficiency in Microsoft Office (Word, PowerPoint, Excel, Outlook).
  • Ability to multitask and manage time effectively.
