The Sales Coordinator – Projects plays a key role in supporting and enabling the commercial operations by ensuring smooth order processing, strong customer coordination, and effective cross-functional collaboration. This role sits at the heart of the sales cycle — connecting customers, sales teams, warehouse, and finance to deliver a seamless and efficient customer experience. Success in this role comes from strong attention to detail, proactive communication, and the ability to manage multiple priorities in a fast-paced environment.

What You’ll Do

Sales Support & Order Management

• Create and manage customer quotations with accuracy and timeliness

• Prepare customer sales orders and route them for sales team authorization

• Send approved customer orders to the purchasing team for supplier coordination

• Manage sample orders, including tracking availability, delivery status, and returns

• Collaborate with the sales team to gather key order details and ensure smooth handover

Customer Service & Relationship Management

• Manage new customer account creation and related documentation

• Maintain organized and up-to-date customer records, including quotations, purchase orders, sales orders, delivery notes, and receipts

• Handle customer complaints and manage aftersales follow-up

• Monitor customer payment timelines and escalate delays when needed

Inventory & Fulfilment Coordination

• Liaise with the warehouse to confirm product availability and readiness for sale

• Review daily and weekly sales batches and share invoices and delivery documents with the accounts team

Compliance & Process Adherence

• Prepare warranty documents and compile operation and maintenance manuals

• Ensure proper documentation and adherence to internal systems and approval processes

Cross-functional Coordination

• Work closely with sales, finance, and warehouse teams to ensure seamless order flow

• Coordinate with the accounts team on Letters of Credit, ensuring clarity and commercial alignment with suppliers

Projects & Business Support

• Support special assignments and business initiatives as requested by management

• Contribute ideas to improve processes, efficiency, and overall customer experience

What You’ll Bring

• Fluent in English and Arabic with strong written and verbal communication skills

• Strong organizational skills with the ability to manage high volumes of orders and follow-ups

• Proactive and solution-oriented mindset with the ability to improve workflows

• Customer-focused approach with strong relationship management skills

• Ability to handle complaints, aftersales issues, and payment follow-ups professionally

• Collaborative team player with a proactive and supportive attitude

What We’re Looking For

• Bachelor’s degree in business administration or a related field

• 3–5 years of relevant experience in sales coordination or customer service

• Strong ability to review client specifications and product data sheets

• Experience working in a multicultural environment

• Proficiency in Microsoft Excel and strong overall computer skills
