Job Description

Frontline Administrative Support

  • Politely answering, screening and forwarding incoming phone calls or inquiries
  • Efficiently managing the front desk area to ensure it is organized and tidy
  • Cheerfully greeting and welcoming visitors or clients
  • Properly handling business correspondence such as emails, mails and packages
  • Presenting a courteous and approachable attitude to ensure a welcoming and positive initial impression


Administrative Operations and Management Support

  • Effectively handling travel arrangements and accommodations for staff or executives
  • Scheduling and coordinating meetings, appointments, and events; maintaining and updating office records and files and databases
  • Efficiently preparing reports, memos and other documents as required
  • Manages office supplies and its inventory; oversees office maintenance, repairs or services
  • Ensures that meeting rooms, reception areas, and workspaces are clean, well-stocked, and functional
  • Organizes seating arrangements or workspace allocation for employees


Cross-Functional Collaboration

  • Acts as an effective point of contact between departments to ensure smooth communication and coordination
  • Assists teams with administrative tasks or operational support and in the execution of cross-functional projects
  • Accurately and promptly relays information and messages


Flexibility and Multi-Tasking

  • Handles unexpected issues or urgent tasks with efficiency
  • Can easily adapt to new responsibilities or technologies as the office environment evolves
