The Opportunity
The student support unit seeks an incumbent who provides administrative and logistical support to the Office of Students Support to ensure the smooth and efficient functioning of its operations.
The Responsibilities
- Performs general administrative and clerical duties allowing smooth and efficient operation of day-to-day activities of Student Support Unit.
- Serves as the first point of contact for students and parents ensuring they are provided with timely accurate information, and/or are directed to the concerned person for further queries/action.
- Communicates with students, their families and other interested parties to provide them with general information regarding the financial aid policies and procedures and update on the renewal process.
- Coordinates and participates in all events and activities related to (parents’ Orientation, Funding projects) Office of Students’ Support, ensuring necessary arrangements are done efficiently and effectively.
- Creates and designs brochures, manuals, videos, and flyers, as required, for the marketing and visibility of the Student Support Unit, as directed by the manager.
- Update and maintaining Student Support Unit web presence to meet TDRA guidelines;
- Collects all Financial Aid applications, review them based on the eligibility criteria and ensure they are complete.
- enter all the Financial Aid applications data on the system database.
- Analyses the Financial Aid data and Drafts Final Eligible/applicable Students list.
- Annual update of the renewal process.
- Serves on the Student Financial Aid Committee.
- Runs Monthly Financial Aid student payroll to ensure all Financial Aid students on both campuses receive their approved salary.
- Coordinates the distribution of iPads and laptops to ensure all Financial Aid students on campus receive their assigned unit.
- Liaise with IT to verify availability and track of devices inventory and technical resources for students.
- Maintains Financial Aid information by using Banner to monitor the financial aid allocation process, as directed by the manager of Office of Student Support.
- Collects required documents, restudy student case according to their rules, create student profile, print report, and upload eligible student files on Zakat fund system;
- Collects required documentation for the enrollment of students to any external programs (including and not limited to, AlNukbah program from HSBC, Marsh Emirates progra m…etc.) and monthly student’s status check for all student registered in the programs.
- Generates financial reports for donors; and ensure the regular update for doner database.
- Meets donor’s requests include, but not limited to, copying student financial aid file, generate reports tailored to their requirements, distribute gifts to the student and uploading student’s files to their systems.
- Ensure that the Student Support services are aligned with internal and external guidelines (for example TDRA, mGov..etc.)
- Generates reports and presentations related to student support unit services for all internal and external requirements (for example Strategy & future Department, TDRA , PMO ..etc.)
- Collaborate with IT and other units to ensure the smooth workflow of the unit’s services and resolve and enhance the services in line with the guidelines.
- Contribute to the implementation of SSU initiatives in collaboration with internal and external partners.
- Monitoring the progress of the events results.
- Any other task requested by the line manager.
The Requirements
- Must possess a Bachelor’s Degree from an accredited institution with a minimum of 2 years of relevant experience or an equivalent combination of education and experience.
Other Essential Requirements
- Excellent Arabic and English oral and written skills required.
- Excellent skills in Word, Excel, GroupWise, and PowerPoint required.
- Knowledgeable about UAE culture and society; able to explain ZU Financial Aid Policies to parents, guardians and other UAE nationals.
- Able to win and maintain the confidence of parents/guardians, and ZU students.
- Outgoing and approachable, with a commitment to student success.
