Job Description

Job Purpose

The Receptionist serves as the first point of contact for visitors and callers, ensuring a welcoming and professional environment. This role also includes administrative support duties such as managing office supplies procurement, coordinating deliveries, and maintaining inventory to ensure smooth day-to-day operations.

Job Accountabilities

Front Desk & Communication

  • Greet visitors and clients with professionalism and warmth.
  • Answer and direct incoming calls promptly and accurately.
  • Manage incoming and outgoing mail and courier services.
  • Maintain a tidy and organized reception area.

Administrative Support

  • Schedule meetings, appointments, and conference room bookings.
  • Assist with document preparation, filing, and data entry.
  • Support HR and other departments with clerical tasks as needed.

Office Supplies & Procurement

  • Monitor inventory levels of office supplies and stationery.
  • Source, compare, and purchase supplies from approved vendors.
  • Maintain accurate records of purchases and expenses.
  • Suggest cost-effective alternatives and improvements.

Qualifications And Expereince

  • High school diploma or equivalent; diploma in office administration is a plus.
  • Proven experience as a receptionist or in a similar administrative role.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Familiarity with procurement processes and vendor coordination.
