Job Description

ITP Media Group (ITP) is one of the largest media companies in the Middle East, with a portfolio of more than 40 brands. The company delivers quality, up-to-date content to its readers, viewers, delegates, and guests through digital, print, events, awards, video content, social media platforms, and influencers.

As a receptionist, you will be the first point of contact for our company. Receptionists’ duties include offering administrative support across the organisation. You will welcome guests who visit the office and coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Ultimately, a receptionist ensures the front desk provides a positive welcome to guests and perform all administrative tasks to the highest standards.



Requirements

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person or office
  • Answer, screen, and forward incoming telephone calls
  • Ensure the reception area is tidy and presentable, with all necessary stationery and materials
  • Provide basic and accurate information in person and via telephone/email
  • Receive, sort, and distribute daily mail and deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front-office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Maintain updated records of office expenses and costs

Requirements

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organisational skills
  • Multitasking and time-management skills, with the ability to prioritise tasks
  • Strong customer service skills
