Job Description
- Serve as the primary point of contact for the accounts receivable process, ensuring timely and accurate recording of all transactions.
- Oversee the credit and collections process, ensuring adherence to company policies and minimizing outstanding balances.
- Collaborate with internal and external stakeholders to address and resolve receivables-related issues.
- Provide insights and recommendations to improve financial performance and cash flow management.
- Act as a liaison between the finance department and other teams, including sales, operations, and customer service, to align on receivable processes and address cross-departmental concerns.
- Ensure the integrity of financial data related to receivables by implementing and maintaining robust internal controls.
- Support strategic financial planning by providing insights on cash flow trends and receivables performance.
- Serve as a subject matter expert in accounts receivable systems, offering guidance on software utilization and upgrades.
Accounts Receivable Management:
Prepare and process customer invoices, ensuring accuracy and compliance with contractual terms.
Monitor outstanding accounts and maintain up-to-date aging reports.
Reconcile accounts receivable ledgers to ensure all payments are accounted for and properly posted.
Credit Control and Collections:
Evaluate and approve credit terms for customers based on creditworthiness and company policies.
Follow up with customers to ensure timely collection of payments.
Address disputes and discrepancies related to invoicing and payments.
Reporting and Analysis:
Generate periodic financial reports related to accounts receivable, including aging reports and cash flow forecasts.
Analyze trends and identify risks in receivables, recommending corrective actions.
Compliance and Process Improvement:
Ensure compliance with accounting standards, company policies, and regulatory requirements.
Identify opportunities to streamline receivables processes and implement best practices.
Client and Contract Management:
Ensure receivables align with contract terms for facility management services, such as maintenance, cleaning, landscaping, or other operational agreements.
Collaborate with account managers to resolve client disputes related to billing and service delivery discrepancies.
Service-Based Invoicing:
Prepare detailed invoices for facility management services, including periodic billing for recurring services and project-based charges.
Ensure service line items (e.g., manpower, equipment, consumables) are accurately reflected in client invoices.
Revenue Recognition:
Monitor and record revenue from facility management contracts according to agreed-upon schedules and accounting standards.
Ensure compliance with service-level agreements (SLAs) in billing practices.
Vendor and Subcontractor Coordination:
Coordinate receivables related to subcontracted services to ensure accurate cost allocation and invoicing to clients.
Manage receivables for pass-through expenses such as materials or third-party services.
Dispute Management:
Address and resolve client concerns about invoice discrepancies arising from facility service variations or contract amendments.
Maintain documentation of client communications regarding receivables disputes.
Budget Alignment:
Collaborate with operations teams to ensure receivables are aligned with budget forecasts for facility management projects and contracts.
Provide input on financial performance by analyzing receivables data against operational KPIs.
Performance Monitoring:
Track receivables related to specific facilities or regions to identify trends in client payment behavior.
Report on receivables by service category (e.g., HVAC maintenance, pest control, cleaning) to support management decision-making.
Compliance and Reporting:
Ensure all receivables comply with relevant local regulations, especially for long-term facility management contracts.
Provide tailored financial reports for individual clients or projects as required.
Collaboration with Operations Teams:
Partner with facility management teams to validate job completion and service delivery before invoicing clients.
Develop streamlined processes for receivables tied to variable services like on-call maintenance or emergency repairs.
Cash Flow Optimization:
Analyze payment cycles of facility management clients and recommend strategies to optimize cash flow.
Work with procurement and project management teams to synchronize receivables with payables for cost efficiency.
Client Relationship Management:
Build and maintain positive relationships with key clients to encourage timely payments and long-term collaboration.
Provide clients with clear, accurate, and detailed statements of account upon request.

Information Security responsibilities:

- Ensure whoever handles sensitive company information have taken the Security Awareness Training
- Know how to report a security incident (to IT ServiceDesk or InfoSec).
- Not Disable his/her OS firewall and/or Antivirus
- Restrict use to authorized purposes, Protect access accounts, privileges, and associated passwords.
- Accept accountability of his/her individual user accounts, and maintain confidentiality
Qualifications:
- Bachelor’s degree in accounting, Finance, or a related field (required).
- Professional certifications such as CPA, CMA, or ACCA (preferred).Finance.
- 5-7 years of progressive experience in accounting or finance roles, with a focus on accounts receivable management.
- Prior experience in the facility management, construction, or service-based industries is highly preferred.
