About the Department

The Corporate Services & Facilities department is responsible for ensuring seamless operation of the workplace environment across Imbono, enabling employees and business leaders to perform effectively and productively. It manages office operations, including workplace logistics, front-of-house services, local and international travel coordination, transportation management, event and meeting support, procurement of office-related goods and services, vendor management, and workplace experience initiatives, ensuring a professional, functional, and well-maintained working environment. The function works closely with all departments and external service providers to coordinate workplace requirements and maintain operational standards and culture across the business.

Role Summary

The corporate receptionist will serves as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming experience. The role is responsible for managing front desk operations, handling incoming communications, coordinating visitors, and providing administrative support to the wider business.

Responsibilities

Front Desk Management

  • Welcome visitors and direct them to the appropriate employees or meeting rooms.
  • Ensure visitors comply with company security and visitor management procedures.
  • Maintain a professional and welcoming reception area.

Communication Management

  • Answer, screen, and direct incoming telephone calls.
  • Manage general email enquiries and correspondence, including on behalf of senior executives where required.
  • Receive and distribute incoming mail, courier packages, and deliveries.

Meeting & Visitor Coordination

  • Coordinate meeting room bookings and ensure rooms are prepared for meetings.
  • Arrange refreshments and catering for internal and external meetings.
  • Support executives and departments with visitor logistics, including preparation for client and stakeholder meetings.
  • Assist with diary management and scheduling for senior executives.

Administrative Support

  • Assist with document preparation, filing, scanning, and record management.
  • Maintain office supplies and coordinate replenishment where required.
  • Support travel bookings, accommodation arrangements, and expense administration for executives.
  • Prepare correspondence, reports, and presentation materials on behalf of senior stakeholders.
  • Provide general administrative support across departments as required.

Office Services Support

  • Assist with employee onboarding logistics.
  • Coordinate courier services and external deliveries.
  • Support office events and employee engagement activities.

Experience

  • Minimum 4–5 years’ experience in a receptionist, front desk, or administrative role.
  • Experience working in a corporate environment preferred.
  • Experience interacting with clients and senior stakeholders.
  • Experience managing diaries, scheduling meetings, and coordinating travel for executives.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) or equivalent tools.
  • Strong organisational skills with the ability to multitask and handle confidential information with discretion.

Qualifications

  • Diploma or bachelor’s degree in business administration or a related field preferred.
  • Relevant certifications in Office Administration, Executive Support, or a related discipline are an advantage.
  • Equivalent practical experience will be considered in lieu of formal qualifications.
