HR & Admin Officer 

Job Description

Provides proactive support in various HR Admin & Emiratisation Operational activities.

Managing administrative functions and ensuring compliance with UAE labor laws and Emiratisation policies

KEY ACCOUNTABILITIES / TASKS

1. Emiratization Program Support:

  • Assist in developing and implementing the company’s Emiratization plan in line with government directives (e.g., Nafis, Pension, Tawteen reports, MoHRE initiatives).
  • Coordinate with government entities and regulators to ensure compliance with Emiratization targets and policies.
  • Maintain a database of Emirati employees and applicants; track career progress, promotions, and development plans.
  • Participate in Emirati career fairs, campus recruitment, and talent outreach programs.
  • Support the onboarding and orientation of new Emirati employees.

2. Recruitment & Talent Acquisition:

  • Responsible for job posting and supports recruitment campaign.
  • Screen resumes, schedule interviews, and coordinate assessments.
  • Maintain communication with candidates and ensure a positive candidate experience.

3. Training & Development:

  • Coordinate training programs specifically designed for employees’ growth and development.
  • Assist in preparing Performance Improvement Plans and career paths for employees.
  • Monitor training attendance, feedback, and effectiveness.

4. Administrative Functions:

  • Maintain accurate records of HR data, including employee files, contracts, leaves, and performance reviews.
  • Makes necessary payroll entries in HRMS ensuring timeliness and accuracy; reconciles payroll before sending it forward for review.
  • Assist in preparing HR reports and statistical data.
  • Handle day-to-day administrative duties, including drafting memos, organizing meetings, and managing documentation. Ensures employee records are filed accordingly.
  • Support in business travel bookings for employees ensuring policy adherence.
  • Assists in the establishment, maintenance and continual improvement of the policies & procedures manual and Employee Handbook.
  • Enrols group employees under Group Medical Insurance; coordinates with Insurance broker for amending employee records, employee complaints, quarterly premium payments, etc.
  • Enrols group employees under salary prepay card
  • Provides inputs / reports on employee attendance using the biometric system.
  • Support in documentation activities like preparing Goods Received Notes, LPOs, etc on the non-trading purchase module (Oracle). Coordinates with finance for payment related queries, status of LPOs raised and any other finance related issue within scope of work.
  • Support in preparation of petty cash payment and reimbursements, reviews of Etisalat bills and employee deductions.
  • Provides assistance in sending out basic group communication emails

5. Compliance & Reporting:

  • Ensure compliance with UAE labor laws, Emiratization regulations, and company policies.
  • Prepare and submit regular reports to management and government bodies (e.g., Nafis & Pension portal updates).
  • Support audits and inspections related to Emiratization efforts.

6. Employee Engagement & Retention:

  • Support initiatives aimed at increasing the engagement and retention of employees.
  • Act as a liaison between employee and HR leadership for grievances, development needs, or general feedback.
