Job Description

Key Responsibilities

Human Resources

  • Manage recruitment, candidate screening, interview scheduling, selection and offer coordination.
  • Complete employee onboarding, orientation, joining formalities and exit procedures.
  • Prepare offer letters, employment contracts, salary certificates, warning letters, undertakings, experience certificates and termination documents.
  • Maintain accurate employee files, attendance, leave balances, payroll inputs and personnel records.
  • Monitor probation periods, performance reviews, contract renewals and document expiry dates.
  • Coordinate monthly payroll inputs, including attendance, leave, overtime, incentives and deductions.
  • Handle employee queries, grievances and disciplinary matters professionally and confidentially.
  • Support management in implementing HR policies, performance standards and internal procedures.
  • Ensure HR practices comply with UAE Labour Law and company policies.

Visa and Immigration Responsibilities

  • Manage the complete employee visa process, including new applications, status changes, renewals and cancellations.
  • Coordinate entry permits, employment visas, medical fitness tests, Emirates ID applications and residence visa formalities.
  • Arrange dependent visa documentation where authorised by management.
  • Track the expiry dates of passports, visas, Emirates IDs, medical insurance and other immigration documents.
  • Coordinate with immigration authorities, authorised typing centres, medical centres and relevant government service providers.
  • Maintain accurate records of all visa-related expenses, applications, approvals and supporting documents.
  • Ensure timely completion of visa renewals and cancellations to avoid fines, penalties or operational delays.
  • Support employees with visa-related queries and documentation requirements.

MOHRE Responsibilities

  • Manage MOHRE-related processes, including job offers, work permits, labour contracts, contract amendments, renewals and cancellations.
  • Prepare and submit new work permit applications and employment contract documentation.
  • Process employee status changes, profession changes and other permitted amendments.
  • Coordinate labour card and work permit renewals within the prescribed timelines.
  • Maintain updated records on the MOHRE system and verify that employee information is accurate.
  • Coordinate with authorised Tasheel centres and PRO service providers when required.
  • Monitor the company’s MOHRE establishment records, quotas and compliance requirements.
  • Assist with labour complaints, inspections or employee-related submissions when required.
  • Ensure compliance with WPS, employment contract and other applicable MOHRE requirements.
  • Keep management informed of changes in UAE employment regulations and MOHRE procedures.

DHA Licensing and Regulatory Responsibilities

  • Manage DHA professional licensing applications for doctors, nurses, therapists and other healthcare professionals.
  • Coordinate new licence applications, licence renewals, transfers, activations, deactivations and cancellations.
  • Process applications through the relevant DHA and Sheryan systems.
  • Coordinate DataFlow verification, Primary Source Verification and examination requirements.
  • Assist healthcare professionals with eligibility letters, professional registrations and licence-conversion procedures.
  • Collect and verify educational certificates, experience certificates, professional registrations, Good Standing Certificates, passports and other required documents.
  • Monitor DHA licence, eligibility and registration expiry dates and initiate renewals in advance.
  • Maintain complete and updated credentialing files for all healthcare professionals.
  • Coordinate with DHA, healthcare professionals and authorised service providers to resolve application discrepancies or documentation deficiencies.
  • Support the clinic during DHA inspections, audits and regulatory reviews.
  • Assist with facility licensing documentation, professional roster updates and other clinic compliance requirements.
  • Ensure that no healthcare professional begins clinical duties without the required licence, activation and internal approvals.

Administration and Clinic Support

  • Manage the clinic’s daily administrative requirements.
  • Coordinate with management, doctors, nurses, therapists and support staff.
  • Prepare and manage staff duty rosters, attendance records and leave schedules.
  • Maintain employee asset records, office supplies, clinic consumables and administrative inventory.
  • Coordinate with landlords, vendors, maintenance companies and external service providers.
  • Maintain licences, contracts, insurance policies and regulatory documents with timely expiry reminders.
  • Prepare management reports, internal correspondence, meeting minutes and official letters.
  • Ensure workplace discipline, professional conduct and compliance with company procedures.
  • Maintain confidentiality of employee, patient and company information.
  • Perform other HR and administrative responsibilities assigned by management.

Candidate Requirements

  • Bachelor’s degree in Human Resources, Business Administration or a related field.
  • Minimum 2–4 years of relevant HR and administration experience in the UAE.
  • Previous experience in a clinic, hospital or healthcare organisation is strongly preferred.
  • Practical experience handling employment visas, Emirates ID, MOHRE and DHA licensing procedures.
  • Familiarity with MOHRE, Tasheel, DHA Sheryan and DataFlow processes.
  • Working knowledge of UAE Labour Law, WPS and employee documentation requirements.
  • Strong command of written and spoken English; Arabic or Hindi would be an advantage.
  • Proficiency in Microsoft Word, Excel and Outlook.
  • Strong organisational, communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Capable of managing multiple deadlines in a fast-paced clinical environment.
  • Must be currently available in the UAE and able to join immediately.
