Job Description
Role Purpose
The Receptionist – UAEN serves as the first point of contact for visitors, clients, and employees, ensuring a professional and welcoming experience. The role is responsible for managing front-desk operations, handling communications, coordinating meeting arrangements, and providing administrative support while maintaining the highest standards of customer service and professionalism.
Key Responsibilities
Front Desk Management
- Greet and welcome visitors, clients, and guests in a professional and courteous manner.
- Ensure all visitors are registered and directed to the appropriate person or department.
- Maintain the reception area to ensure it remains organized, presentable, and welcoming at all times.
- Coordinate visitor access and issue visitor passes in line with company security procedures.
Telephone & Communication Management
- Answer, screen, and direct incoming calls promptly and professionally.
- Take accurate messages and ensure timely communication to relevant employees.
- Handle general inquiries and provide accurate information regarding the organization.
- Manage incoming and outgoing correspondence, including emails, courier deliveries, and mail distribution.
Administrative Support
- Schedule and coordinate meetings, appointments, and conference room bookings.
- Assist in preparing meeting rooms and arranging refreshments when required.
- Maintain office records, filing systems, and documentation.
- Support departments with administrative tasks such as document preparation, data entry, photocopying, scanning, and filing.
Customer Service
- Deliver exceptional customer service to internal and external stakeholders.
- Handle visitor and customer inquiries efficiently and professionally.
- Escalate concerns or complaints to the appropriate department for resolution.
- Maintain a positive, professional image of the organization at all times.
Office Coordination
- Coordinate with facility management, security, and other service providers as required.
- Monitor office supplies and raise requests for replenishment.
- Support event coordination and internal activities when necessary.
- Assist HR and Administration teams with onboarding logistics and employee support activities.
Compliance & Confidentiality
- Ensure adherence to company policies and procedures.
- Maintain confidentiality of company information, employee records, and visitor information.
- Follow all health, safety, and security regulations applicable to the workplace.
Qualifications & Experience
- UAE National (Emirati) with Family Book is mandatory.
- Diploma or Bachelor’s Degree in Business Administration, Hospitality, Communications, or a related field.
- Fresh graduates are encouraged to apply.
- Previous experience in reception, customer service, front office, administration, or hospitality is an advantage.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, and PowerPoint).
