Executive Assistant (UAE National)
 

The ideal candidate will provide top-level assistance for high level executives. Provide support in the day-to-day administrative operations including managing the Manager’s calendar, scheduling meetings, preparing presentations, handling correspondence and facilitating communication among other Departments, Units, or Clusters.

Responsibilities

  • Carry out the administrative tasks such as managing calendars, organizing meetings, taking minutes, arranging visits and handling correspondence on behalf of the Manager.
  • Ensure the office runs smoothly and efficiently by maintaining office supplies, managing office spaces, and coordinating repairs and maintenance work.
  • Facilitate internal communication between the Unit and other departments within the same Unit.
  • Prepare and disseminate communications such as memos, letters, and official correspondence among the Unit Office and other Units/Clusters.
  • Responsible for all the external communications with external stakeholders.
  • Assist in the execution of corporate events and meetings.
  • Ensure company policies, procedures, and standards are adhered to within the office, and in the development and implementation of new policies and procedures as needed.
  • Track the budget in the Unit and highlight any issue for further consideration.
  • Prepare presentations and reports to AD Ports Group management, committee team and external stakeholders wherever required.

Qualifications

  • Bachelor’s degree in Business Administration or a related field.
  • Excellent English and Arabic Languages
  • UAE National
  • A minimum of 6-8 years of experience in a similar role
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • Ability to handle confidential information.
  • Detail-oriented and organized, with the ability to maintain accurate office records and documentation.
  • Demonstrated ability to prioritize and manage multiple tasks simultaneously.
  • Good skills in time management, planning schedule and meeting deadlines.
