About You:
Job Purpose:
The Junior Attendance Officer supports effective monitoring and recording of student attendance across the school. Working under the direction of senior administrative or pastoral staff, the post holder ensures that daily attendance data is accurately recorded, updated, and communicated in line with school policies and safeguarding procedures. This role is primarily operational and administrative, requiring high levels of accuracy, organisation, and professionalism. The Junior Attendance Officer contributes to maintaining high standards of attendance and punctuality by supporting follow-up processes, maintaining accurate records, and providing clear communication with staff and families. The position plays an important role in safeguarding and compliance by ensuring that attendance records are reliable, up to date, and aligned with regulatory expectations.
Summarised Roles & Responsibilities
Daily Attendance Administration
- Record and update daily attendance using the school’s MIS system.
- Ensure registers are completed accurately and on time by teaching staff.
- Follow up on missing registers and incomplete data.
- Contact parents regarding unexplained absences in line with school procedures.
- Update records with authorised absences, medical notes, and approved leave.
Monitoring & Reporting Support
- Assist in identifying patterns of lateness or absence and report concerns to the Attendance Officer or pastoral team.
- Prepare basic attendance summaries and reports as requested.
- Maintain accurate digital and physical attendance records.
- Support the preparation of attendance documentation for internal review or inspection.
Safeguarding & Student Welfare
- Escalate any attendance concerns immediately to the designated safeguarding lead or relevant senior staff.
- Support secure student sign-in and sign-out procedures.
- Maintain strict confidentiality when handling student information.
- Ensure attendance procedures align with safeguarding expectations.
Administrative Support
- Provide general administrative assistance to the school operations team.
- Maintain organised filing systems and student records.
- Draft routine correspondence related to attendance.
- Support front desk or reception duties when required.
- Assist with school events and reporting processes as needed.
Professional Standards
- Follow school policies relating to attendance, safeguarding, and data protection.
- Demonstrate professionalism and courtesy when communicating with parents and staff.
- Contribute positively to the smooth running of the school’s administrative systems.
- Engage in relevant training and professional development as required.
Person Specification
Essential:
Knowledge & Qualifications
- This role is reserved for UAE Nationals with a Family Book
- High school diploma or equivalent qualification.
- Basic understanding of administrative processes.
- Competent in Microsoft Office and general IT systems.
- Good written and spoken English.
Desirable:
- Previous experience in a school or office environment.
- Familiarity with school MIS systems.
- Basic understanding of safeguarding principles.
Experience
Essential:
- Experience in an administrative or customer service role (school-based experience desirable but not essential).
- Experience handling data or records with accuracy.
Desirable:
- Experience supporting attendance systems in school.
- Experience communicating with parents or external stakeholders.
