Job Description
Capital Health is looking for a detail-oriented and highly organized Facilities Assistant to join our Facilities & Biomedical Engineering Department. The ideal candidate will be proactive, reliable, and capable of handling a diverse range of administrative and operational tasks to support our Facilities, Biomedical Engineering, and Occupational Safety & Health (OSH) teams.
As a Facilities Assistant, you will play a critical part in ensuring the smooth functioning of departmental operations, vendor coordination, documentation, and compliance reporting, helping to drive operational excellence within the hospital environment.
✅ Key Responsibilities
• Organize departmental meetings, vendor appointments, and prepare Minutes of Meetings
• Handle documentation such as contracts, purchase requisitions, invoices, and audit files
• Maintain records on SharePoint including contracts, insurance files, and leases
• Track staff overtime, leave planner, gate passes, and parking requests
• Manage petty cash, reimbursements, and monitor utility bills (ADDC, Tabreed)
• Support audit documentation (OSH, DOH, JCI, 3rd party) and prepare monthly/yearly reports
• Coordinate annual OPEX & CAPEX budget requirements
• Submit and track purchase requisitions/orders for services, medical equipment, and assets
• Act as the administrative point of contact for the Facilities Director and engineering team
• Coordinate internal/external meetings and events, and manage communication flow
✅ Qualifications
• Bachelor’s Degree (Any discipline)
• 3–5 years of experience in a healthcare facility environment
• Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint)
• Strong administrative, communication, and organizational skills
• Familiar with procurement systems and financial tracking
• Experience with SharePoint and document control systems
