Job Description

The Client Accounts Executive is responsible for managing the day-to-day financial administration of client accounts throughout the customer journey, from booking until handover. The role ensures timely invoicing, accurate payment allocation, account reconciliation, and effective communication with clients regarding their financial obligations while maintaining the highest standards of customer service.

Key Responsibilities

Client Account Administration

  • Maintain and update client financial records within the CRM and ERP systems.
  • Monitor client payment schedules in accordance with signed agreements.
  • Allocate incoming payments accurately to client accounts.
  • Reconcile client accounts and resolve discrepancies.
  • Prepare and issue Statements of Account (SOA) upon request.

Billing & Documentation

  • Generate invoices, receipts, payment confirmations, and account statements.
  • Verify the accuracy of all financial documentation before issuance.
  • Maintain complete electronic records of all financial transactions.
  • Process account amendments, transfers, and adjustments as approved.

Collections & Payment Follow-up

  • Monitor due and overdue installments.
  • Contact clients regarding upcoming and outstanding payments.
  • Send payment reminders in accordance with company procedures.
  • Coordinate with the Finance Department regarding payment confirmations and bank allocations.
  • Escalate overdue accounts to the Client Accounts Manager when necessary.

Client Communication

  • Respond promptly to client inquiries related to:
  • Outstanding balances
  • Payment plans
  • Installment schedules
  • Receipts
  • Invoices
  • Statements of Account
  • Provide accurate financial information while maintaining a high level of professionalism.

Internal Coordination

  • Coordinate with:
  • Sales Team
  • Finance Department
  • Client Operations Team
  • CRM Team
  • Ensure client account information is accurate and up to date across all systems.

Compliance & Record Keeping

  • Ensure all financial records comply with company policies.
  • Maintain confidentiality of client financial information.
  • Support internal and external audits when required.

Reporting

Assist in preparing reports including:

  • Outstanding payment reports
  • Collection reports
  • Client account reconciliation reports
  • Aging reports
  • Daily payment tracking
  • Weekly collections reports

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • 2–4 years of experience in Accounts Receivable, Client Accounts, Finance Operations, or Customer Finance.
  • Experience in real estate development is preferred.
