Administrative Assistant – Sharjah Branch(Arabic Speaker)
Purpose:
Provide administrative support to ensure efficient operation of office.
Support managers and employees through a variety of tasks related to organization and communication.
Communicate via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.
RESPONSIBILITIES :
Answer and direct phone calls and manage correspondence.
Organize and schedule appointments and meetings.
Take accurate minutes of meetings.
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
Handle sensitive information in a confidential manner.
Manage the appointments and schedule of the higher management.
Act as the point of contact between all the departments.
Manage daily office operations, schedules, and correspondence.
Maintain property documents (listings, contracts, MOUs, NOCs) in line with RERA standards.
Support agents with listings, marketing coordination, and deal tracking.
Handle petty cash, expenses, attendance, and onboarding tasks.
Prepare regular reports and update management on branch performance.
Take Health, Safety & Environment (HSE) lead in ensuring “safe systems of work” and “safe conditions” are in place within area of responsibility.
Perform other similar or related duties as required or assigned by management.
QUALIFICATIONS & EXPERIENCE :
Educational Requirements / Qualifications:
Bachelor’s degree in business administration or any related field.
Experience:
1 – 2 years’ experience in an administrative role.
Skills and Competencies:
Highly organized.
Strong communication skills
Time management skills.
Computer literacy including a solid working knowledge of MS Word, Outlook, and Excel and database management.
Able to manage priorities and solve problems.
Detail-oriented and able to multi-task.
