Real Estate HR and Admin Executive – Abu Dhabi
Job Summary
We are seeking an organized, proactive, and detail-oriented HR & Administrative Executive to manage the company’s human resources, office administration, and real estate portal operations.
The successful candidate will support recruitment, employee documentation, attendance, onboarding, office coordination, and daily administrative requirements. The role will also be responsible for managing property listings and agent accounts across real estate portals such as Bayut, Property Finder, and other relevant platforms.Key ResponsibilitiesHuman Resources
- Manage the recruitment process, including posting vacancies, screening candidates, scheduling interviews, and coordinating job offers.
- Prepare employment contracts, offer letters, warning letters, salary certificates, and other HR documents.
- Coordinate employee onboarding and offboarding procedures.
- Maintain accurate and confidential employee records.
- Monitor employee attendance, leave requests, lateness, and absences.
- Assist with payroll preparation, commission records, deductions, and employee benefits.
- Coordinate employee visa applications, renewals, cancellations, medical insurance, and other employment-related documentation.
- Maintain records of employee performance reviews, training, and disciplinary actions.
- Support management in implementing company policies, procedures, and workplace regulations.
- Coordinate training sessions, team meetings, and employee engagement activities.
- Ensure compliance with UAE labour laws and company policies.
Office Administration
- Handle the company’s daily administrative and office coordination requirements.
- Manage office supplies, equipment, maintenance requests, and service providers.
- Organize company files, contracts, invoices, receipts, and official documents.
- Prepare reports, presentations, letters, and internal announcements.
- Coordinate meetings, appointments, interviews, developer presentations, and company events.
- Assist management and the sales team with documentation and operational requirements.
- Monitor company email accounts, phone lines, subscriptions, and administrative renewals.
- Liaise with developers, clients, suppliers, government departments, and external service providers when required.
- Maintain proper filing systems for employee, property, transaction, and company records.
Real Estate Portal Management
- Manage the company’s accounts on Bayut, Property Finder, Dubizzle, and other real estate portals.
- Create, upload, update, and remove property listings.
- Ensure all listings contain accurate prices, descriptions, locations, permits, photos, floor plans, and agent information.
- Monitor listing quality scores, visibility, ranking, and portal performance.
- Ensure listings comply with portal guidelines, ADREC requirements, advertising permit regulations, and company standards.
- Coordinate with property consultants and listing agents to collect complete property information and documents.
- Monitor listing expiry dates, permit validity, and renewal requirements.
- Manage agent profiles, portal access, listing allocations, credits, and subscription packages.
- Identify and remove duplicate, expired, inaccurate, or unavailable listings.
- Coordinate with Bayut and Property Finder account managers regarding technical issues, listing performance, packages, and account requirements.
- Prepare weekly or monthly reports on listing performance, leads, impressions, clicks, quality scores, and portal usage.
- Ensure leads received through the portals are correctly assigned and recorded in the company’s CRM.
- Support the sales and marketing teams in improving listing descriptions, photos, and overall presentation.
Qualifications and Experience
- Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
- Minimum of 2 years of experience in HR, administration, or a similar role.
- Previous experience in a UAE real estate company is strongly preferred.
- Experience managing Bayut, Property Finder, Dubizzle, or similar property portals is an advantage.
- Understanding of UAE labour laws, visa processes, and employment documentation.
- Familiarity with UAE real estate listing requirements and advertising permits is preferred.
- Proficiency in Microsoft Office, Google Workspace, CRM systems, and online portals.
- Strong written and verbal communication skills in English.
- Knowledge of Arabic is an advantage.

Working Conditions
- Full-time, office-based position.
- Standard working hours will follow the company’s official schedule.
- The employee may occasionally be required to support company events, property launches, training sessions, or urgent administrative requirements outside regular working hours.
