Job Description
The HR Coordinator supports the HR Manager in managing HR operations while ensuring compliance with UAE Labor Law, healthcare regulations, and accreditation standards. The role emphasizes staff insurance administration, personnel file management, licensing coordination, payroll support, and audit preparation.
Key Responsibilities
- Staff Insurance Administration
Manage onboarding of staff and dependents for health insurance.
Process insurance renewals, additions, and deletions.
Coordinate with insurance providers for timely activation and continuous coverage.
Maintain accurate insurance records for all employees.
Ensure compliance with UAE health insurance regulations and company policies.
Respond to staff queries regarding insurance coverage and documentation.
- Personnel File Management
Create and maintain employee files for new joiners.
Collect, verify, and organize mandatory documentation.
Monitor expiry dates for visas, Emirates ID, licenses, and other critical documents.
Update files with renewals, amendments, promotions, and HR records.
Ensure confidentiality and audit readiness of all personnel files.
- Accreditation, Audits & Surveys
Assist the HR Manager as Co-Champion during accreditations, audits, and surveys (CARF, DOH, ADHICS, JCI).
Ensure HR documentation compliance during inspections.
Support corrective action plans for HR-related audit findings.
- Licensing & Regulatory Coordination
Coordinate DOH Health Professional License renewals.
Process clinicians’ stamp requisitions.
Liaise With PRO And Staff For
Work permit renewals
Visa renewals
Staff transfers within group facilities
- HR Administration & Payroll Support
Update And Create Job Descriptions With Line Managers.
Coordinate hotel and ticket bookings for staff.
Process medical reimbursements and EID deductions.
Update monthly bank account details and Ministry of Labor records for payroll.
Maintain HR department supplies inventory in the Concept system.
- General Duties
Perform other HR duties as assigned by Line Manager.
Ensure compliance with UAE Labor Law and internal HR policies.
Educational Qualifications
Bachelor’s degree in Human Resources, Business Administration, or related field.
HR certifications (CHRM, CHRMP, CIPD) preferred.
Experience
2–5 years of HR experience, preferably in healthcare or regulated industries.
Hands-on experience in HR operations, payroll, licensing, and insurance administration.
Experience with accreditation and audits (CARF, DOH, ADHICS, JCI) highly desirable.
Technical Skills
Strong knowledge of UAE Labor Law, visa processes, and licensing regulations.
Proficiency in HRIS/HR management systems (e.g., Concept) and payroll systems.
Advanced MS Office skills (Word, Excel, Outlook).
Knowledge of health insurance processes and employee benefits administration.
